1. Information We Collect

RouteForge Pro ("we," "our," or "the platform") collects information necessary to provide field service management software to our business customers ("tenants") and their end customers. This includes:

  • Account information: Name, email, phone number, business name, and address provided during registration or application.
  • Service data: Job details, scheduling information, invoices, estimates, equipment records, and customer communications managed through the platform.
  • Location data: GPS coordinates for technician tracking, route optimization, and live customer tracking (only when actively enabled by the technician).
  • Photos and media: Images uploaded through booking forms, service requests, job completion workflows, or equipment documentation.
  • Communication data: SMS messages, email notifications, and in-app messages sent through the platform.
  • Usage data: Browser type, pages visited, and feature usage patterns to improve the platform.

2. How We Use Your Information

  • Provide and operate the field service management platform
  • Send appointment confirmations, reminders, and service notifications via email and SMS
  • Process payments and generate invoices
  • Enable live technician tracking for end customers
  • Generate analytics, reports, and business intelligence for tenants
  • Improve platform features and performance

3. SMS and Text Messaging

We use SMS messaging to send service-related notifications including appointment confirmations, technician dispatch alerts, payment receipts, and maintenance reminders. By providing a phone number during service booking, customers consent to receive these transactional messages.

  • Message frequency varies based on service activity
  • Message and data rates may apply
  • Reply STOP to any message to opt out of SMS notifications
  • Reply HELP for assistance
  • SMS opt-out preferences are respected immediately and stored per customer
  • Phone numbers are not shared with third parties for marketing purposes

4. Data Sharing

We do not sell personal information. We share data only as necessary to operate the platform:

  • Service providers: Resend (email), Twilio (SMS), Supabase (database and storage), Render (hosting), Google Maps (mapping), and AI providers (Anthropic, Google) for intelligent features.
  • Tenant access: Business customers (tenants) can access data related to their customers, jobs, and operations. Each tenant can only access their own data.
  • Legal requirements: We may disclose information if required by law, subpoena, or court order.

5. Data Security

We implement industry-standard security measures including encryption in transit (TLS), row-level security in our database, tenant isolation, and secure authentication. Photos and documents are stored in encrypted cloud storage with access controls.

6. Data Retention

Account and service data is retained for the duration of the tenant's subscription plus 90 days. Photos are subject to tenant-configurable retention policies (default 90 days for general photos; warranty and damage photos are retained indefinitely). Tenants may request data export or deletion at any time.

7. Your Rights

Depending on your jurisdiction, you may have the right to access, correct, delete, or export your personal data. End customers should contact their service provider (the tenant) for data requests. Tenants may contact us directly.
